As of October 31, 2018, Microsoft Office 365 will no longer support TLS (Transport Layer Security) 1.0 and 1.1 versions. Because of this, offices scanning to email with an older multifunctional copier or printer may see compatibility issues. If you're planning an Office 365 migration, you should first have your IT team check your office copiers and printers to make sure existing equipment is compatible with TLS 1.2 or later.

Office 365 and TLS 1.2 Requirement

The scan-to-email function on many older multifunctional devices (MFDs) is not compatible with new SSI (Server Side Inclusion) and TLS (Transport Layer Security) encryption standards.

The TLS 1.2 requirement provides stronger security for e-commerce transactions and meets PCI (Payment Card Industry) Data Security Standards for securing payment information. Without upgrading, SSL and early TLS versions leave you more susceptible to a data breach.

If you do not update to TLS version 1.2 (or later) by October 31, 2018, you may experience issues when connecting to Office 365, specifically for scan-to-email functionality. If you experience an issue related to the use of an old TLS version after October 31, 2018, you will be required to update to TLS 1.2 as part of the resolution.

While many workplaces use Office 365 for email and other Microsoft suite applications like Word and Excel, additional features like conditional access policies and identity management allow more control over data access, services and applications. Scan-to-Office 365 Compatibility

The incompatibility between MFDs and Office 365 comes when SSL and early versions of TLS are disabled in favor of more secure encryption protocols. While many of your connections may already fit this standard, workplaces using older-generation copiers and printers with scanning functions that do not support TLS 1.2 may run into issues, like finding an error when trying to scan to email. 

This affects numerous older-generation models, including Canon, Konica Minolta, Xerox, Lexmark and HP.

What if Your Copier/Printer is not Compatible with Office 365?

If scanning to email is a requirement for your workplace, you need to find a way to make it work. Changes in compatibility due to security updates are a strong reason to lease your copier. Leasing can allow you to upgrade or replace your current copier(s) with favorable buyout options.
